What to put on the sheet

  • Specific food items, each with a quantity: boxed stuffing, canned vegetables, gravy, mashed-potato mix, cranberry sauce. Check the list with your pantry first; they know what runs short.
  • Turkey or a grocery gift card, if you're building full baskets and not just stocking a shelf.
  • Sorting and packing shifts, each with a start time and a cap.
  • Delivery or distribution shifts, whether families pick up on-site or you drop off.
  • The drop-off location and hours in the event description (front office, church foyer, an organizer's porch).
  • A line asking for unopened, unexpired, store-bought food only. Many pantries can't accept home-cooked or home-canned food.

Example slots

Boxed stuffing

8 spots. One box per spot unless you say otherwise.

Canned vegetables

10 spots. Corn, peas, green beans. Ask for low-sodium if your pantry prefers it.

Mashed-potato mix

6 spots. Instant boxes or pouches.

Gravy

6 spots. Canned or jarred.

Cranberry sauce

4 spots. Canned is fine.

Turkey or grocery gift card

4 spots. For full baskets. Only take frozen turkeys if you have freezer space.

Sorting shift

6 spots. Put the date and start time in the slot.

Packing shift

6 spots. Capped so the room doesn't get crowded.

Distribution / delivery

4 spots. Pickup line or drop-off routes.

The full list adds up to 54 spots. The free plan holds 25 signups per event, so either cut it down to your most-needed items and one shift, or use Pro for unlimited signups.

Thanksgiving food drive FAQ

How do I run a Thanksgiving food drive sign-up?

Ask your pantry or food bank partner what they're short on first. Then give each item its own slot with a quantity, add volunteer shifts for the work days, and put the drop-off spot and hours in the description. Share one link with the congregation, the school, or the neighborhood.

Should I use this or the donation drive template?

Use this sheet when the drive is a Thanksgiving basket or holiday pantry and you need both food and volunteer shifts. Use the year-round donation drive template when it's only a list of items (snack shack soda, classroom supplies) with no shifts.

How do I keep people from all bringing green beans?

Give each item its own slot and cap it. Once "canned vegetables" fills up, the next person sees stuffing and gravy still open.

Can one family donate several items?

Yes. By default each person signs up for one slot, which keeps the list spread out. If you'd rather let a family claim stuffing and gravy and a packing shift, check "Let one person sign up for more than one slot" when you build the event.

Where do donors drop off food?

Wherever you write in the event description, along with the hours. Common picks: the church foyer on Sunday, the school front office during the week, or a labeled bin on someone's porch.

Is the food drive sign-up free?

For a small drive, yes. The free plan holds 25 signups per event, which covers a classroom or small-group drive. The full template has 54 spots, so a church-wide or school-wide drive will need Pro for unlimited signups ($8.25 a month billed annually, or $12 month to month). Donors never see ads.
