Youth group sign-up for chaperones and rides

The event is on the calendar. The vans are not. Put chaperones, drivers, and snacks on one link so Friday is not a last-minute text.

What to put on the sheet

  • Drop-off and pick-up times, plus the address of the church, park, or venue.
  • Chaperone count that matches your ratio, not a hopeful "as many as we can get."
  • Drivers with a note field for seatbelts. A van is not eight seats unless it is.
  • Snacks that do not need a fridge if you are leaving the building.
  • Check-in as its own job. Permission slips get lost in a pile of hoodies.
  • Who has the first-aid kit and the emergency contact list.

Example slots

Chaperones

4 spots. Adults who stay for the whole event, not drop-off only.

Drivers

4 spots. Write how many seatbelts you have in the note.

Snack duty

3 spots. Food that survives a bus ride or a church basement.

Activity lead

3 spots. Games, small groups, or the person with the speaker.

Check-in and permission slips

2 spots. One clipboard, one table, names matched to the list.

Cleanup

2 spots. The room or the vans, after the last kid is gone.

Youth group FAQ

How do I make a youth group event sign-up?

Start from this template, add the date and the drop-off time, and send the link to parents. Adults claim chaperone, driver, or snack. On Pro, you can describe the night instead ("Friday youth lock-in, 4 chaperones, 4 drivers, snacks") and Create With AI drafts the slots for you.

How many chaperones do I need?

Follow your church or school policy, including any two-adult rule. Put the number on the sheet so parents see the gap, not a vague "we need help."

Where do permission slips go?

Collect them the way you already do (paper, a church form, or email). The signup is for who is coming and who is driving. Put "bring the signed slip" in the event description so it is in front of parents when they pick a slot.

Do parents need an account to sign up?

No. They open the link, pick a role, and type a name and email. No password and no app.

Is the youth group sign-up free?

Yes. The free plan holds up to 100 signups per event, and this template uses 18 spots. Confirmed signups get an email 24 hours before and again an hour before, and the page they open has no ads.
