Printable volunteer sign-up sheet with shifts

School carnivals, food drives, and church events still run on a clipboard by the door. Type your event, add up to 12 shifts with their times and how many volunteers each one needs, and print a sheet with a numbered line for every spot. We don't save what you type, and you don't need an account.

Prints above the shifts. Say where to check in or what to bring.

Name and Phone always print. Email adds a third column.

Why put it on a sign-up sheet

One link replaces the clipboard by the door. Volunteers sign up with a name and email, no account, and see which shifts still need people. SignUpSpark emails a reminder 24 hours and 1 hour before each slot's start time, and you can export the list to CSV.

Turn this into a sign-up sheet

Opens a sign-up sheet with 4 slots, one for each shift, at the times you picked, with one spot for each line. Change any of it before you publish.

How it works

  1. Type the event title, date, and location, and a short paragraph for the top of the sheet, like where to check in.
  2. Add up to 12 shifts. Give each one a name, a start and end time, and the number of volunteers you need. Each volunteer gets a numbered line.
  3. Name and Phone print on every line. Turn on Add an Email column if you want a third column.
  4. Press Print. The sheet prints portrait in big type, and a long shift carries on to the next page with its name and time printed again.
  5. Want reminders? Turn it into a sign-up sheet. Each shift becomes a slot with one spot for each line, and reminders go out 24 hours and 1 hour before each slot's start time.

FAQ

How many shifts and lines can one sheet have?

Up to 12 shifts, with 1 to 25 lines each. A shift with more lines than fit on a page carries on to the next page, with the shift name and time printed again at the top.

Can I add an Email column?

Yes. Turn on Add an Email column, and every line gets Name, Phone, and Email. The columns get narrower, so the sheet still fits a letter-size page.

Will it print on one page?

A portrait page holds about 12 to 16 lines with their shift headings, so the 20-line sample prints on two pages. A shift with 12 lines or fewer never splits across pages, and a longer shift repeats its column headings on the next page. The form, buttons, and site menus are left off, and only a small footer from us prints.

What happens when I turn it into a sign-up sheet?

SignUpSpark opens a new sheet with one slot for each shift, at the times you picked, with one spot for each line. You can change any of it before you publish. Reminders go out 24 hours and 1 hour before each slot's start time.

Is it free?

Yes. The printable sheet is free with no account. The Free plan includes 1 active event and 100 signups per event, so shifts that add up to more than 100 lines need Pro. Pro is $8.25 a month billed yearly ($99), or $12 month to month, with a 14-day free trial. See Pro pricing
