How to staff a swim meet: timers, runners and concession slots
To staff a swim meet, split the day into sessions and give every job its own slot: timers for each lane, a head timer, runners, clerk of course or bullpen helpers, concessions, and setup and teardown crews. A typical 8-lane session with 2 timers per lane needs about 28 parent volunteers, not counting officials. Put the whole roster on one sign-up sheet, in the order the day runs, and send every swim family the same link.
The alternative is familiar to anyone who has run one. It's 7:40 a.m., warm-ups are loud and echoing off the tile, lane 6 has one timer, and you are walking the bleachers asking parents if they own a stopwatch. A full roster posted two weeks out makes that walk a lot shorter.
A sample meet roster
Here is a typical setup for a one-day meet with two sessions in an 8-lane pool. Treat the numbers as a starting point, not a rule. Pools, leagues, and meet referees all do this a little differently, and officials (stroke and turn, starter, referee) come from your league, not the sign-up sheet.
| Slot | Volunteers | What they do |
|---|---|---|
| Setup | 6 | Lane lines, timing pads or benches, tents, and the concession table, before warm-ups. |
| Warm-up deck marshal | 2 per session | Keeps warm-ups safe under the meet referee. Some meets require marshals to be registered members, so check first. |
| Head timer | 1 per session | Runs a backup watch and steps in when a lane timer misses a start. |
| Lane timers | 2 per lane, 16 per session | A common setup for an 8-lane pool. Some meets use 3 per lane. |
| Runners | 2 per session | Carry timing sheets and results from the deck to the table. |
| Clerk of course and bullpen | 3 per session | Line swimmers up by heat and lane. At sanctioned meets the clerk is often a certified official, with parents helping in the bullpen. |
| Concessions | 4 per session | Two at the register, two restocking and cooking. |
| Teardown | 6 | Lane lines in, tents down, trash out. |
That is 28 volunteers per session and 12 for setup and teardown, or 68 signups for the day. Give each lane its own timer slot instead of one big "Timers, 16" slot. Parents like knowing they are on lane 3 with a friend, and you can see at a glance which lane is still empty.
Concessions run longer than any one parent wants to stand at a grill, so split them into shifts. The volunteer shift calculator splits a session's start and end time into shift blocks, and the concession stand guide covers who does what at the table. If your timers need gear, start with the stopwatch roundup.
Paste every slot at once
Typing 28 slots one at a time is how a Sunday afternoon disappears. In the SignUpSpark slot editor, click Add many slots and paste the roster into the box, one slot per line. Add a comma or a tab and how many people the slot needs, like Session 1 timer lane 1, 2. A line with no number gets room for 2. The preview flags any line that needs a fix, and the button at the bottom reads Add 28 slots when everything checks out.
This is the whole sample meet, ready to paste:
Setup, 6 Session 1 warm-up deck marshal, 2 Session 1 head timer, 1 Session 1 timer lane 1, 2 Session 1 timer lane 2, 2 Session 1 timer lane 3, 2 Session 1 timer lane 4, 2 Session 1 timer lane 5, 2 Session 1 timer lane 6, 2 Session 1 timer lane 7, 2 Session 1 timer lane 8, 2 Session 1 runner, 2 Session 1 clerk of course and bullpen, 3 Session 1 concessions, 4 Session 2 warm-up deck marshal, 2 Session 2 head timer, 1 Session 2 timer lane 1, 2 Session 2 timer lane 2, 2 Session 2 timer lane 3, 2 Session 2 timer lane 4, 2 Session 2 timer lane 5, 2 Session 2 timer lane 6, 2 Session 2 timer lane 7, 2 Session 2 timer lane 8, 2 Session 2 runner, 2 Session 2 clerk of course and bullpen, 3 Session 2 concessions, 4 Teardown, 6
If your roster already lives in a spreadsheet, copy the name and count columns and paste them straight in. The tab between columns works the same as a comma.
Drag slots into meet order
Families scan the sheet top to bottom, so the order should match the day: setup, then session 1 from warm-ups through concessions, then session 2, then teardown. Set Sort slots to Saved order, and a drag handle appears on each slot. Drag a slot where you want it, or use Move up and Move down if you would rather not drag on a phone. Families can then view the sheet in Host's order and see the day exactly as you laid it out.
Multi-day meets
For a Friday through Sunday invitational, build the first day and use Repeat on each dated slot to copy it daily until the last day. Repeat is a Pro feature. On Free you can paste each day's roster with Add many slots instead; just keep the whole weekend under 100 signups, since Free covers 1 active event with up to 100 signups per event.

FAQ
How many volunteers does a swim meet need?
A typical one-day, two-session meet in an 8-lane pool with 2 timers per lane needs about 28 parent volunteers per session plus setup and teardown crews, around 68 signups in all. Officials such as stroke and turn judges are separate. Your pool, lane count, and league will change the numbers.
How many timers per lane do I need?
Two per lane is a common setup, with a head timer running a backup watch. Some meets put three on each lane. Check what your league or meet referee expects before you post the sheet.
How do I make a swim meet timer sign-up sheet fast?
Click Add many slots, paste one slot per line with a comma and how many people each slot needs (like "Session 1 timer lane 1, 2"), and click the Add button. Then set Sort slots to Saved order and drag the slots into meet order.
Can I use the free plan for a swim meet?
Yes, for many meets. Free covers 1 active event with up to 100 signups per event, and the sample one-day roster here comes to 68. A 10-lane pool with three sessions runs past 100, which is when Pro makes sense.
How do I set up a weekend meet?
Build the first day, then use Repeat on each dated slot to copy it to the next days. Repeat is a Pro feature. On Free you can add each day with Add many slots instead.
