Free signup sheet alternatives, ranked by use case

Most signup tools are technically free. They differ in how free — what's actually possible on the free tier, what trade-offs come with it, and how the page looks to the people you're inviting. Here's an honest read on the five most common options.

A spreadsheet in the group chat

The default option. Free, no signup, everyone can edit. Works fine for under five people.

Frustrations: No capacity caps, no reminders, no per-row claim — overwrites happen, two families bring brownies, you become the manual updater. Mobile editing is painful. Fine for casual use; falls apart over more than one event.

Google Forms

Free, ad-free, integrates with Google Sheets, accepts unlimited responses. Best for arbitrary surveys.

Frustrations: Cannot cap per-option ("max 5 desserts"), does not send reminders, does not show real-time fill counts to respondents, often requires Google login from respondents (which kills attendance from non-Google users). Use Forms when you need a survey, not a signup with capacities.

Doodle

Best at picking a date among a group. The classic "what time works for everyone" tool.

Frustrations: Doodle is built for scheduling, not signups. No per-slot capacity, no reminders for events themselves, no signup-specific UX. If you need a poll, Doodle is the answer; if you need a signup, it's the wrong shape.

SignUpGenius

The category-defining tool with 20-plus years of history and millions of users. Per-slot capacity, reminders, recurring events.

Frustrations: Display ads on free signup pages — the page guests see is full of banner ads. Attendees are often required to create an account before signing up. The platform sends marketing emails to your collected attendee list. Mobile UX predates modern responsive design.

Right pick when: you manage thousands of recurring volunteers, need advanced custom report builders, or rely on integrations with established corporate tools.

Eventbrite

Strong free tier for paid ticketed events. Built around discovery — your event can show up in Eventbrite search.

Frustrations: Built for ticketed events; per-slot capacity for free volunteer signups feels bolted on. Free tier surfaces other Eventbrite events alongside yours. Service fees on paid tickets eat into ticket prices. Overkill for a 25-person potluck.

SignUpSpark

Disclosure: this is our tool, so take this section with the grain of salt it deserves. We try to be honest about where we lose, too.
